Terms & Conditions

The following Terms & Conditions relate to NZIOB Events:

Registration & Payment

Where registration places are limited, places will be allocated on a strictly ‘first in’ payment basis.
If you do not receive a confirmation email after registering, please email nziob@nziob.org.nz to confirm that your registration has been received.
Payment is required prior to the event start. Your event registration is not confirmed until payment is received. An invoice/receipt will be emailed to you after payment has been made.

Attendee Cancellations

If your circumstances change and you can no longer attend an event, you may cancel your registration by providing email notice to nziob@nziob.org.nz.
Please note that registrants are responsible for cancelling their own hotel and travel reservations.
The NZIOB reserves the right to cancel an attendee’s registration if they believe the registrant’s motivations to attend run counter to the purpose of the event.

Refund Policy

Substitutions

Registrant substitutions are permitted with the written permission of the original registrant. Please email nziob@nziob.org.nz with details of the original and new registrants.

Programme Changes

It may be necessary for reasons beyond the NZIOB’s reasonable control to alter the advertised content or the advertised speakers. Every effort will be made to ensure a programme of equivalent standard. The NZIOB reserve the right to make changes at any time.

Event Cancellation or Postponement

The NZIOB reserves the right at any time to postpone, reschedule or cancel the event or any part of the event, and will not be liable for any damages, costs, losses or expenses of any kind incurred by the registrant, as a result of postponing, rescheduling or cancelling the event or any part of the event.
If the event is postponed, rescheduled or cancelled by the NZIOB for reasons that are beyond its reasonable control, including as a consequence of a Force Majeure event (see below), the NZIOB may retain the ticket price and will not be required to refund the ticket price. The NZIOB will review refund requests, submitted in writing, for approval on a situational basis.
If the location and/or timing of an event is changed, or it is cancelled or postponed, registrants will be notified as soon as possible via the email address they provided during registration.

Force Majeure

The NZIOB shall not be held responsible for any delay or failure in performance of its obligations to the extent such delay or failure is caused by fire, flood, strike, civil, governmental or military authority, acts of God, acts of terrorism, the availability of the venue or other similar causes beyond its reasonable control and without the fault or negligence of the NZIOB or its subcontractors.

COVID-19

Current COVID-19 Level restrictions on Gatherings and Events and how they affect NZIOB events are:
- Level 1: No limit on attendees, contact details recorded for contact tracing
- Level 2: 100 person limit on attendees, contact details recorded for contact tracing
- Levels 3 & 4: Virtual events only
If the COVID-19 Alert Level changes from Level 1 to Level 2, resulting in an attendee limit of 100, the first 100 people to register for an event will be given preference to attend. Any remaining attendees have the option to:
- Transfer their registration from in-person to virtual (if this option is available) and having any difference in ticket price refunded; or
- Cancel their registration and receive a full refund.
If the COVID-19 Alert Level changes from Level 1 / 2 to Level 3 / 4, resulting in an attendee limit of 0, attendees have the option to:
- Transfer their registration from in-person to virtual (if this option is available) and having any difference in ticket price refunded; or
- Cancel their registration and receive a full refund.
If a registrant has COVID-19 symptoms, they should not attend any NZIOB events, notifying the NZIOB via email to nziob@nziob.org.nz.

Presentation Materials

Any presentation materials attendees receive access to from speakers as part of an NZIOB event will be used solely for attendees’ own internal, non-commercial purposes. Unauthorised distribution (via sales, copying, posting on intranet/internet) is expressly forbidden.
All rights in all presentations, documentation and materials published or otherwise made available as part of an NZIOB event (including but not limited to any audio or audio-visual recording of the conference) are owned by the NZIOB or are included with the permission of the owner of the rights.

Personal Audio & Video Recording

The audio or video recording of all or any part of NZIOB events without express permission from the NZIOB is not permitted. Anybody found recording without permission will be removed from the event.

Image Release

In registering for an NZIOB event, registrants grant permission to the NZIOB to take and to have full and free use of video/photographs containing their image/likeness. It is understood these images may be used for promotional, news, on-line/multimedia, research and/or educational purposes by and for the NZIOB.
Should an attendee not agree to the above image release, they must advise the NZIOB by emailing at nziob@nziob.org.nz.

Views

The views expressed by any event attendee, speaker, exhibitor or sponsor are not necessarily those of the NZIOB. All event attendees, speakers, exhibitors and sponsors are solely responsible for the content of any and all presentations, marketing collateral, advertising and online web content.

Chatham House Rule

All attendees must comply with any notification made either prior to or at an event that the Chatham House Rule applies to any presentation(s). This prohibits any attendee from sharing remarks made during any presentation, to others who were not themselves in attendance at the event.

Dietary Requirements

For any event that provides catering, registrants should email nziob@nziob.org.nz detailing their dietary requirements.
The NZIOB is unable to guarantee that all dietary requirements will be able to be catered for.

Lost, Stolen or Damaged Property

The NZIOB does not assume responsibility or liability for stolen, lost, or damaged personal property incurred at an NZIOB event.

Behaviour

In its sole discretion and without refund, the NZIOB reserves the right to refuse admittance to or expel from any event anyone that it determines is behaving in a manner that could be disruptive to the event or to any other attendee. This includes social media postings.

PPE

If PPE (Personal Protective Equipment) is a requirement for an NZIOB event, it is the registrant’s sole responsibility to provide suitable PPE for themselves.
